Integration for automatic AI-based translations – presono's knowledgebase

Permissions

In order to access DeepL, the following group permissions must be assigned:

With the “DeepL translations” permission, users in the group can perform translations themselves with DeepL ( for all slides and presentations where they have write permission). With the “View all DeepL reports” permission, they can also view the requests of other users in the settings.

Translating a presentation

To translate a presentation, open the respective presentation. Then click on the flag icon at the top left and select ‘Translate with DeepL’.

The following elements will be translated with DeepL

Text boxes
Tables
Galleries (the contents of the captions)
the title of the Slide
the title of the Presentation

Note: please make sure that you have saved all changes beforehand.

A window with various settings will appear. Firstly, you must select the translation settings. The following options are available:

Translate presentation title: with this option, the title of your presentation will also be translated into the target language. If this option is not selected, the title will remain the same as in the original language.
Translate slide title: with this option, the title of your slides will also be translated into the target language. If this option is not selected, the title remains the same as in the original language.
Only untranslated content: if you select this option, only those Slides that do not yet exist in the target language will be taken into account. If you deselect this option, a message will also appear stating that the corresponding content will be overwritten for all slides that already exist in the target language (see screenshot). To proceed you need to click "ok".

At the bottom you will find the language settings. First select the source language (1) (i.e. the current language of your Slide or its content) from the available languages in presono. The source language of DeepL (2) is often already filled in automatically, if you want to change it or it is not filled in automatically, please select it from the dropdown.

Then the target language in presono (3) must be selected from the available languages in presono. Here the target language of DeepL (4) is often already filled in automatically as well, but you can change it or fill it in yourself by selecting one from the dropdown.

Note: If the language you are looking for does not yet exist in presono, please contact your admin. If the language you are looking for does not exist in DeepL, it is unfortunately not possible to translate from or into this language using the connection.

Then click on "Translate" at the bottom right.

Your presentation will now be translated. Please wait until this process is complete.

A report of your translation will appear at the end. Here you will see your selected options again (1). You can also see which slides were skipped (2) and the reason for skipping each slide (3). Reasons may be that the slide already existed in the target language (if the option ‘Only untranslated content’ was selected, these slides will be skipped) or that you do not have editing rights to the slide. It is also possible that the slide does not contain any text (e.g. video slides), which means that it will not be translated because DeepL only translates texts.

At the bottom you will see a list of successfully translated slides (4).

You can close the report at the end.

You are now in the presentation in the target language and can start checking straight away.

Please note that the presentation has now been saved in French. You can undo the translation using the ‘Manage translations’ feature and deleting the French slides.

Translating a slide

To translate a slide or an overlay, go to the edit view. Then click on the flag icon at the top right and select ‘Translate with DeepL’ to translate the entire Slide.

The following elements will be translated with DeepL

Text sections
Tables
Galleries (the contents of the captions)
the title of your slide

Note: make sure that you have saved all changes beforehand.

Note: If the language you are looking for does not yet exist in presono, please contact your admin. If the language you are looking for does not exist in DeepL, it is unfortunately not possible to translate from or into this language using the connection.

Then click on "Translate" at the bottom right.

Your slide will now be translated. Please wait until this process is complete.

A report of your translation will appear at the end of the process. Here you will see your selected options once again (1).

At the bottom you can see whether the Slide was successfully translated or skipped (2). If it was skipped, you will also see the reason why it was skipped. Reasons may be that the slide already existed in the target language (if the option ‘only untranslated content’ was selected, these slides are skipped) or that the slide does not contain any text (e.g. video slides), which means that it is not translated because DeepL only translates texts.

You can close the report at the end.

You are now in the slide in the target language and can start checking it.

Tip: to edit the title, click on the Save button.

Please note that the slide has now been saved in French. You can undo the translation using the ‘Manage translations’ feature and deleting the French slide.

Translation of multiple Slides/Overlays in Content Structure

If you select several slides and overlays at the same time in the content structure, you can also translate these directly with DeepL. Please follow the same steps as for translating a single slide.

Translate individual text boxes or galleries

In a presentation or Slide, a single text box or a gallery (the content of the caption) can also be translated. To do this, click the corresponding section in the Slide you would like to translate - you will then find a button for the translation with DeepL at the top under the ‘Integrations’ tab.

A window will appear where you can set the source language of your content (1) and the target language (2). Here you will just need the languages from DeepL and no presono languages, as you are only translating the content and not creating a translation for a slide.

Note: If the language you are looking for does not exist in DeepL, it is unfortunately not possible to translate from or into this language using the interface.
