What is XLIFF?
XLIFF (short for XML Localization Interchange File Format) is an XML-based file format for translations. XLIFF files can be fed directly into translation tools, formatting can be viewed and different languages can be managed.
Alternatively, every export is now also available in JSON format, so that even more translation tools can work with our content!
In this video we will show you how it works!
XLIFF in presono
Translations are an important issue in presentations. In presono you can translate your slides and thus save multiple versions, which you can then switch between before or during the presentation. You can find more about this topic here: Translate slides. These translations have to be created first and then maintained later on in regular intervals. The possibility to export presono slides into an XLIFF file is an exciting work relief!
With our new XLIFF module it will be possible to export slides as XLIFF files, send them to a translation agency and then import the edited file back into our tool with just a few mouse clicks.
Attention. Our XLIFF interface has been developed according to the applicable standards and is based on or exports an XLIFF file in version XLIFF 2.0.

The exports and imports in presono are done via workspaces or directly via the presentation. So you choose a workspace and all slides in it will be exported to an XLIFF. If you export a single presentation, all slides and linked content will be exported, depending on the settings. This will then include all sections that need to be translated. Formatting can also be included, as well as titles of slides and presentations. More about workspaces can be found here: Manage Workspaces
JSON in presono
As an alternative to the export in XLIFF format, every export is now also available in JSON format. Import and export work in the same way as with XLIFF. The following should be noted in particular:
- The structure must be preserved, only values of the key-value pairs may be changed
- HTML tags in the values should be preserved
- The whole "options" object (at the end of the file) must remain unchanged
Export
As soon as the XLIFF module has been activated for you in presono, you need the permissions/right for it. You can find it in the group settings in the "global rights".
Once you have the right to use XLIFF, a new tab will appear in the settings where you can access the module.
Existing Exports
In the first tab at the top left you can see all exports that have already been made. You can see which export (1) was made with which status (2), from which workspaces (3). You can also see the source language and the selected target language (4), as well as the time and date (5) of the export and the corresponding user (6). Next to it you can download the translation file (7).
If you click on "Details", you can see additional details about the export, such as the selected options.
New Exports
To perform a new export, you must first select one or more workspaces for the export in the "New Export" tab. All slides from the corresponding workspace(s) will always be exported. Then select "Continue" in the lower right corner.
Alternatively, you can export a single presentation as XLIFF. To do this, go to the content structure and click on the three-dot menu of the presentation and select "Export XLIFF".
If there are still slides that do not currently have a language, a selection then follows which language should be set for them. This hint only appears if there are such slides in the selected workspaces.
Also an hint appears, if there are any troubles with a translation of a slide. The slide can then be opened in a new tab and must be saved in the respective language.
Next, some options will appear:
- Title: here you can choose a title for your export. This title will then appear in the overview of existing exports.
- "Only untranslated": if you select this option, only those slides that do not yet exist in the target language will be exported. Slides that already exist in the target language, e.g. English, will be omitted.
- "Translate presentation titles": if you select this option, the titles of the presentations in the workspaces will also be included in the translation. If not, the titles will remain in the current language only.
- "Translate slide titles": if you select this option, the titles of the slides in the workspaces will also be included in the translation. If not, the titles will remain in the current language only.
- You can also select your source and target language here: you can only choose between the languages created for your platform in presono. Find more about it here: Settings
If you click on "Export" in the lower right corner, the export will be created. In the tab "Exports" you can check the status and when the export is finished, you can download the corresponding file here. This can then be translated and later imported back into presono.
Import
Once you have the translated files, you can import them back into presono.
Existing imports
In the overview under the tab "Imports" you can see the title (1) and the status (2). Also the corresponding workspaces (3) and the target and source language (4). Next to it you can see the time and date (5) and the user (6). On the right you can download the XLIFF-file (7) and see the details (8).
If you click on "Details", you can see additional details about the import, such as the selected options.
New Imports
To start a new import, go to the "New Import" tab.
Here you can either click or drag and drop an XLIFF file from your computer. Then you can rename the file and click on "Upload".
Once the upload is done, it will automatically switch to the existing imports. Once the file has been uploaded, the respective slides are automatically saved/modified according to the settings you made before.
When the translation has been imported, the slides must be checked again manually in the workspaces. Formatting can be done in the XLIFF , but since there can be large differences in some languages, especially in the number of characters, the slides must be checked again.
