From now on it is possible to see for every Slide, every Presentation, every Media File and every Template where it is used and what is using itself! So you can now track who uses what content and it can even (if you have the permission) be switched to the meta data or even the editing of the corresponding element! This makes managing data in presono even easier! In this article you will learn how it works!
How does the tracking work?
In the meta data of all content elements (i.e. Slides, Presentations, Templates and Media Files) there are now two new tabs available at the top. In the first one, you can see where the selected content is used and in the second one what the content uses. Please note that this can be slightly different depending on the type of content - you can find details about this below in the corresponding paragraphs.
You can find the meta data either in the three-dot menu in the Content Structure or in the detail view of each element.
To view the meta data, you need at least reading access to the respective element. Whether you can view or edit the locations where it is used depends again on the permissions on this element.
Used in
Once you click on "used in", a list of locations where this content is used will load. Please note that you have to be online to use this function in order to always get the most current data.
For each element (Presentation, Slide, etc.) you can immediately see in the list who has edited it last and when (1). In addition, you have the possibility to switch directly to the editing of each list element (2) or to display the detailed meta data here (3). The results are of course grouped by type. You can also open the respective Slide or similar in full screen.
In the list, all elements, you are allowed to at least read, will appear. Only for those elements you are allowed to edit, it is possible to switch to editing using the pencil icon. For all elements where this content element is used, but you have no access to, for example because they are located in a private workspace, a note appears at the bottom that it is used in other elements.
If you want to view the meta data of a list element, it will open in the same window. To edit the meta data, you have to switch to the editing of the element.
If this element is not used anywhere yet, the following note appears:
Uses
If you click on the "Used" tab, you will also get a list of the elements, the current content uses. In the case of Slides, for example, the Templates and Media used are displayed here. Depending on which content type you have opened, the displayed elements differ again.
But the options are identical to the tab "used in". You can see when and by whom the element was last edited, you can view the meta data or switch directly to editing. If you don't have permission to access, the note that there are other elements in use will appear again.
Usage of Slides
In Slides you will find a list of all Presentations in which this Slide appears under "used in". Sessions do not appear here.
In the "uses" tab, the following things appear for Slides:
- Links to Slides, Overlays or Presentations. Links to websites or automated links like "Home" etc. do not appear.
- Which templates are used (background and layout) as well as
- all media used (images, videos, PDFs, Object Viewer)
Note: the contents in the Slide's clipboard are also displayed here.
Usage of Media
In Media you will find a list of all Slides and Templates ( Layout and Background) in which this medium appears under "used in".
There is no "used" tab for media, but you can find the download list of this media here, if the feature is used for the license texts when downloading media.
Usage of Templates
For Templates you will find a list of all Slides in which this Template (Background or Layout) appears under "used in". For Layouts you will also see the linked/allowed Backgrounds.
On the "Uses" tab, the following things appear for Templates:
- For Layouts, the allowed Backgrounds appear, as well as
- all media used (images, videos, PDFs, Object Viewer)
Usage of Presentations
For Presentations, under "Used in" you will find a listing of all Slides where this Presentation is linked. Sessions do not appear here.
In the "used" tab, all Slides that are included in this Presentation will appear. You can find the linked Slides and Overlays in the corresponding Slides.
