In the content structure and everywhere you access the content structure, it is now possible to select multiple elements at the same time. Different actions can then be performed with this selected content at the same time.
Whether inserting slides into a presentation or moving and managing content in the content structure. You can select multiple elements by either dragging the mouse over them or pressing the Ctrl/Cmd key. You can also drag a selection over an area with the Shift key. Select the first element, then hold the Shift key and select the last element. The selection is maintained across multiple pages. So if you select several elements on the first page and then set new filters or go to the next page, you can add more elements by holding down the Ctrl/Cmd key.
To select all elements on this page in the Content Structure at the same time, press "Ctrl + A"/"Cmd+ A". To add the elements to the current selection (e.g. all elements on the next page), press "Shift+Ctrl+A"/"Shift+Cmd+A".
In our content structure
In the content structure you will find the most possibilities. Here you can move or delete several contents at the same time. Make sure that your permissions can differ in the different workspaces.
First access the content structure and select several elements, either by dragging them with the mouse or by clicking while holding down the Ctrl/Cmd key.
As soon as you have selected at least one element, a bar appears at the top, right below the search bar. In there, the already selected elements can be viewed and the bar also offers an indication of how many elements are currently selected.
An area will open at the top where the elements are visible. In it, it is visible, what type of content it is (1) and the title (2) of it. You can also remove the element from the selection one by one (3). If there are other selected contents, you can reach them by scrolling or using the arrow (4).
At the top you can collapse (5) the area with the selected elements and on the far right you can cancel the whole process (6).
Once you have selected several elements, you can perform the following actions using the bar at the top:
- Create presentation
- move the selected elements
- manage the translations of slides
- remove/delete the selected elements
1. Create presentation
If you have selected several elements, you can create a presentation from the selected slides and presentations - directly in the content structure.
To do this, first select multiple elements, either by dragging them with the mouse or by clicking while holding down the Ctrl/Cmd key.
You can merge as many slides and presentations as you like into a new presentation. When you have selected the slides and presentations, click the "Create presentation" button.
If you have other elements in your selection, such as media or PDFs, you will receive, saying that only the selected slides and presentations will be used for the presentation. To check the order or to see which elements cannot be used because they are not slides or presentations, you can click the "Show selected elements" button in the upper left corner.
Tip: to bring your media (videos, images, object viewers, PDFs) into the presentation, use a layout in which you can paste the media. If you need your media spontaneously during the presentation, you can always insert it using the Enter menu. Read more here: What is the Enter Menu?
The slides are merged into a blank presentation in the selected order. After that, you have the usual editing options available in presentations. You can find more information here: Create presentation
2. Move items
If you select several elements in the content structure, you can also move them at the same time. You can modify, extend or overwrite both the workspaces and the categories. Please note that your permissions may differ from workspace to workspace.
To do this, select several elements in the content structure and click on "Move".
A window opens from the right, in which you can make your selections. At the top you have various notes about what to note when moving. You can expand and collapse them at any time.
change workspace
You can either keep the current workspaces or choose a new one for all of the selected content. To let the workspaces being unchanged, select the checkbox above the workspaces. If you want to change the workspace for all selected elements at once, deselect the checkbox and choose a new workspace for your selected content instead.
If you have selected content that you are not allowed to edit/move, you will see a corresponding hint after you have clicked on "Save". By the way, to change the workspace for one or more elements, you need the highest right in the corresponding workspace - the permission to delete, since you are deleting the content from one workspace to move it to another.
Change categories
Here you have several options:
- you can keep the current categories: select the checkbox above the categories.
- you can keep the current categories and add new ones: select the checkbox and additionally any number of categories below it. This way you can add categories to the current ones for each element.
- you can choose new categories for all elements instead of the current ones: to do so, deselect the checkbox above and choose completely new categories instead. Note that the same categories are selected for all selected elements.
If you have selected elements which you are not allowed to edit, you will get a corresponding message after you have clicked on "save". To change the categories for one or more elements, you need the right to edit these elements in the corresponding workspace, because you change the content for all users.
3. Manage translations
Slides that have been translated in presono can now be managed individually or collectively. You can either manage the translation of one slide, or you can select multiple slides and manage them together. Languages can be assigned, changed or deleted.
You can find more about this topic here: Managing translated Slides
4. Delete
If you select several elements in the content structure, you can also delete them simultaneously. Please note that your permissions may differ from workspace to workspace.
To do this, select several elements in the content structure and click on "Delete". In the dialog that appears, confirm that you are sure you want to delete the elements.
If you have selected elements that you are not allowed to delete, a corresponding message appears after you have confirmed. You need the permission to delete in the corresponding workspaces, as you delete the content for all users.
General modifications
With the introduction of Multiselect, there are even more changes and enhancements in our tool!
Doubleclick
Elements such as slides, presentations or media are no longer opened with a single click in the content structure, but with a double click.
No matter where the content structure is used, if you simply click on an element, the multiple selection is started and this element is the first one selected. As soon as you double-click, it will be opened. When you use a single click on an element in the content structure, a small hint appears after a few seconds, saying you have to double-click to open the content.
Enter button to insert
Besides, you can easily confirm the insertion of slides or media by pressing the Enter key instead of clicking the "Insert" button.
Display selected elements
Because this multiselect bar now appears everywhere the content structure is used, you can also see the element already selected in the slide edit.
For example, if a link is set or an image/video is inserted, you can click on it and see in the bar what is currently selected here. However, displaying links only works if the link is on the entire text or image area. If the link is on only one word or group of words, it cannot be displayed.
